‘’We need to save time by eliminating duplicate entries!”

To solve this problem, we developed a timeware® HR ‘integration’ script that worked in the following way:

  • It was agreed that new people are always initially ‘added’ into the company payroll system. Next, a timeware® HR integration script was developed that checked the payroll, every five minutes, for ‘new personnel records’.
  • When a new person is detected, their basic details such as name, payroll number, address and works number were automatically copied from payroll into timeware® HR. These ‘new’ people were given a basic terminal policy setting, and allocated to a basic period schedule.
  • This now means that within minutes of being added to the payroll application, new starters are now able to ‘book-in’ at any location!
  • The approximate cost of this script development was only £442 +vat




‘’We have a high number of seasonal staff.”

’’Each time we employee a new person and add them to timeware HR, we have to manually calculate their holiday entitlement and update their absence record accordingly. This process takes too long  and is open to operator error! Is there an easy way of automatically calculating an employee’s holiday entitlement considering that we monitor certain employee holidays in hours and minutes whilst others are monitored in days?’’

This was an easy problem to resolve! We developed two absence management entitlement scripts: one calculating in hours and minutes and one calculating in days.

  • New absence entitlement polices were then created with the relevant script associated with the ‘Initial Year’ time band. When a new started was created in timeware® HR and this new absence entitlement policy was selected, the system would automatically calculate the employees holiday entitlement based on the criteria specified by the customer.
  • Before implementing the new scripts, several tests were completed to compare the automatic calculation with previous manually calculated results. Once the tests were confirmed, the scripts were implemented on the live system, saving the HR staff valuable time and eliminating the possibility of operator error.
  • The approximate cost of this script development was only £442 +vat



‘’We are required to produce a series of exports for one of our major customers incorporating an analysis of ‘key facts’ relating to the workforce.”

’’This information must include a summary of the age and sex and ethnic background of each department. This export can be requested on an ad-hoc basis a can take up to an hour to produce manually. Is there any way that timeware could simplify this process?.’’

When developing a bespoke export, it is always useful if the customer knows approximately what information it should contain and the required style of the report.

  • A hand drawn example, scanned and emailed to the development team is a great starting point. From this we can ask questions about the exact content, totals, and possible summary pages.
  • Once we have created a ‘test version’, the support team will be asked to implement the export, using remote access facilities across the internet. We would then expect the customer to further test the export, and to ‘sign off’ the export only when they are totally satisfied with the layout and content.
  • As always, we work closely with each customer to ensure that the bespoke export meets with their eact requirements.

‘’The shop-floor is extremely noisy and the employees complain that they cannot hear the attendance terminal ‘beep’ as they ‘book-in’.”

’’We are currently wasting time processing unnecessary multiple bookings and wonder if it be possible to display ‘In’ or ‘Out’ as an employee swipes their badge? Could there also be a way of staff confirming their current status? The more information at the terminal the better!’’

Two separate SmartBooking® scripts were developed for this customer.

  • The first: to display the employee direction status when booking, and the second:  to allow the employee to simply verify their current status by pressing one of the terminal function buttons.
  • When an employee swipes their proximity fob at the terminal, local verification is performed to check that the person can use the terminal. If this check passes successfully, the terminal utilises SmartBooking® technology to pass the employee details to the timeware® system. The SmartBooking® process then confirms the new status of the employee: either ‘In’ or ‘Out’ and displays the status on the terminals screen along with the employee’s name.
  • What is great about this feature is that people can book-out at a terminal in one office and book back in at a terminal in another office and the status displayed on the terminal screen would always be correct.
  • The second requirement was system-wide anti-passback. As standard anti-passback only works on a door by door basis. Utilising SmartBooking® technology enabled true system wide anti-passback.
  • The approximate cost for both of these bespoke developments was only £628 +vat.
